PhoneRaise Data Cleanup Service
PhoneRaise’s Data Cleanup service is a supplemental offering designed to help organizations prepare their contact and donor records for a fundraising campaign. We can help you consolidate, format, and standardize your data to maximize efficiency using PhoneRaise or other marketing and fundraising tools.
What We Offer
- Merging Duplicates
- We will identify and merge duplicate contact records on the provided spreadsheet(s)
All records will be consolidated into a single, authoritative contact entry to minimize confusion and ensure consistent donor history tracking.
- Merging Multiple Lists
- If your data is spread across multiple spreadsheets, CRMs, or other sources, we will combine them into one cleaned master file.
We perform standard quality checks, such as removing incomplete records and applying consistent column headers to match your preferred format.
- Consistent Formatting of All Phone Numbers
- We will reformat phone numbers into a universal standard (e.g., E.164 format, including country code if desired).
- This ensures phone data is uniform and ready for voice or text outreach via PhoneRaise.
What Is Not Included
Advanced Data Enrichment: We do not automatically append missing data points such as email addresses, postal addresses, or demographic information.
Manual Research of Missing Fields: We will not manually research missing entries in your spreadsheet if they contain partial data or unknown phone numbers.
Custom Scripts or Specialized Integrations: Our standard offering includes common formatting/cleanup methods. Complex transformations, advanced deduplication logic, or integrations outside the standard scope may require a separate technical agreement.
- Ongoing Maintenance: The Data Cleanup service is a one-time event for the data you provide to us at the start. It does not include ongoing data hygiene (post-cleanup).
Fee: $250 an hour
Flat Rate: We offer a flat-rate hourly fee for the Data Cleanup service based on an initial assessment of the volume and complexity of your data.
Estimated Cost: Our Data Cleanup service typically takes 1-2 hours to complete. The minimum billing amount is $250 for the first hour, and every hour thereafter is billed in 30-minute increments (e.g., 90 minutes of work would be $375). We will provide an estimate once we have reviewed the total number of records, the number of merges, and any special requirements (e.g., multiple file formats, unique phone number structures, etc.).
Payment: Payment will be required before the cleaned data is released for use.
- Add-On Charges: Additional charges may apply for:
- Extremely large datasets (e.g., more than 100,000 total records).
- Complex merges that involve significant manual intervention.
- Custom formatting rules or advanced transformations.
Terms and Conditions
- Scope of Work
The scope is limited to merging duplicates, merging multiple lists, and formatting phone numbers. Any additional work must be agreed upon prior to commencement and may require an additional fee.
- Data Security and Confidentiality
- We follow industry-standard data security practices, encrypting data in transit and at rest.
- We will not share or sell your data under any circumstances and will only use it for the agreed-upon Data Cleanup process.
A Non-Disclosure Agreement (NDA) may be signed upon request for additional protection.
- Data Delivery and Timelines
- You must provide all relevant data files in an agreed-upon format (e.g., CSV, XLSX).
- After we receive the data, we will assess its complexity and then provide a proposed timeline for completion.
The average turnaround time is typically 5–7 days, although this depends on the size and cleanliness of the dataset. If the data is required within 72 hours, a $100 rush fee may be applied.
- Accuracy and Limitations
- We use best practices and automated tools to identify and merge duplicate records. Nonetheless, we rely on your input to resolve ambiguous cases (e.g., two records are similar but not definitively duplicates).
Your responsibility is to review and accept the cleaned data in its entirety. We encourage you to validate a representative sample before we finalize and hand off the dataset.
- Payment and Invoicing
- Payment is required before cleaned data is provided to the client.
Accepted payment methods include credit card, ACH, or Zelle
- Termination and Refund Policy
- You may request termination of the service at any time. However, any work already completed up to the point of termination will be billed at the agreed-upon rate.
Refunds are not provided for services already rendered unless a separate error or omission on our part is identified that significantly impacts data quality.
- Future Updates
- Once the service is complete and we have delivered the cleaned data, any subsequent data additions or format changes will be considered a new project or require a separate agreement.
